What you will be doing: This position, under the general supervision of the Town Clerk, is responsible for administrative duties including maintenance of records and official actions of the Board of Trustees in the absence of the Town Clerk. Supports other staff and the general public with inquiries related to Town Clerk’s Office processes including but not limited to: actions related to the Board of Trustees, advisory boards and commissions, elections, records, liquor licensing, permits, and assists with other related work as required. The Deputy Town Clerk works with well-established guidelines to develop sufficient knowledge to independently perform and assume responsibilities.
Summary of Duties
Assists with preparation of meeting documents; attends Board of Trustee meetings when required or in the absence of the Town Clerk, finalizes legislative materials in accordance with Colorado Revised Statutes and serves as primary point of contact for meeting questions.
Prepares and maintains departmental records and reports for meetings, agendas and issues public notification of all official activities and meetings.
Responsible for advisory boards and commissions processes.
Fulfills requests for information under the Colorado Open Records Act.
Issues permits, licenses, and other official certifications or performs other specialized functions unique to departmental assignments.
Assists with administration of Town cemetery and coordinates with Parks and Recreation for internments.
Assists with the operation and function of all municipal elections in accordance with State Statutes.
Schedules and coordinates meetings and conferences.
Performs general office and administrative duties for the Town Clerk’s Office including: invoice processing, contract maintenance, correspondence and vendor relations.
Records documents with counties.
Notarizes documents for staff members and public.
Manages meeting room schedule and approves calendar requests for meetings.
Performs related work as required and assigned.
High school diploma or equivalent (GED); Bachelor’s Degree preferred; four years progressively responsible administrative work in the public sector with exposure to a municipal clerk’s office or function. Ability to obtain designations as Notary Public and Certified Municipal Clerk (CMC). A combination of education and experience may be considered.
KNOWLEDGE, SKILLS & ABILITIES REQUIRED: Knowledge of: Colorado Revised Statutes which pertain to election law, records retention and public information; liquor laws and licensing requirements; records management licensing and cemetery software. Skills in: Ability to: research and prepare reports including the ability to collect data, establish facts, and draw valid conclusions; communicate effectively with elected officials, other employees, and the general public; effectively present both verbal and written information to and respond to questions from the general public and other employees; make independent decisions and assist in routine decisions within scope of authority; deal with non-routine matters and interruptions and high volume of work products; maintain confidentiality and handle confidential issues with tact and discretion; prioritize a wide scope of duties and multiple projects simultaneously.
Environmental Factors: Work is performed in a standard office environment. Frequent to constant use of a personal computer. Work may involve competing demands, performing multiple tasks, prioritization if items to meet deadlines.
Physical Factors: While performing the duties of this job, the employee is frequently required to sit for extended periods of time and occasionally lift storage boxes of 20 lbs or more.
